This page is for Local Administrators and end users who want to understand the stages of the transition to NHS.net and what to expect at each step.
How will the transition to NHS.net happen?
The transition will follow a phased approach, set out below. You will receive email communications at each stage so you know what is happening and when.
Stage 1 – Preparation
In preparation for the transition, end users will receive communications explaining any preparation activities that need to be completed before the transition takes place.
Stage 2 – Data and Files are copied
This is when the automatic copying of items from your current account to NHS.net begins. You will be notified when this process starts.
During this stage, you will also be required to set up your NHS.net account. You will receive clear guidance on how to set up your account. It is critical that this is completed before switchover.
During the copy phase, please note the following:
- Do not make changes to file or folder structures in Outlook, OneDrive, Teams or SharePoint, as these changes may not be reflected in the copied data.
- You may start to see files and folders appearing in your NHS.net account. Do not edit these files.
- Continue working from your existing organisation account until you are told that switchover has happened.
You will be clearly informed when it is safe to start using NHS.net as your main account.
Stage 3: Pilot Switchover
As part of the transition to NHS.net, a pilot migration involving a small number of users will take place. This helps test the process with your organisation and creates a group of users who can support others as change champions. Guidance is available to help pilot users understand the recommended ways of working during and after the pilot migration.

Stage 4: Switchover
This is the point at which Outlook, OneDrive, Teams and SharePoint move to NHS.net. You will be notified well in advance, with reminder notifications sent closer to the day.
Before switchover, you must have completed the setup of your NHS.net account. Follow this guidance, if you have not done this.
From switchover, you will need to sign in using your NHS.net account to access Outlook, OneDrive, Teams, SharePoint and Microsoft apps such as Word, PowerPoint and Excel.
Your organisation Outlook, OneDrive, Teams and SharePoint will become read-only after switchover.
