Migrating Bookings and Shifts

This article provides information about transferring your Bookings and Shifts to NHS.net environment and the steps that you will need to take to ensure continuity of your scheduling within NHS.net.

Migrating Shifts

Pre-Migration Requirements: 

Before you begin transferring your Shifts data, please ensure the following requirements are met:  

1) Destination Tenant Setup – The destination tenant domain, teams, and team members must already be set up 

2) Shifts App Setup – The Shifts app must be set up in teams in the destination tenant and have an empty schedule. 

3) Open Requests  – Any open requests, such as swap requests or time off requests that are still pending approval, will not be migrated. We recommend resolving these requests before migration to avoid complications. 

Note: The migration does not replace or delete existing data. If a team already has an existing shift schedule, users might see duplicate or conflicting shifts. These conflicts will need to be manually resolved after migration. 

What do I need to do ? 

Step 1: Export Shifts Data from the Legacy Tenant 

  • Open the Shifts app in Teams on the Legacy tenant. 
  • Navigate to the Schedule page. 
  • Select More options (three dots) and click on Export schedule
  • Choose the date range for the data you want to export. You can export up to 100 days of Shifts data at a time. If you need to export data for a longer period, repeat this process. 
  • Turn on the option for Export in a format that can be imported and then select Export
  • The schedule will be saved as an Excel file

Step 2: Modify Usernames (if necessary) 

If any team members are switching their email domain during the migration (from nhs.uk to nhs.net), you will need to manually update the user principal names (UPNs) in the exported Excel file to match the destination tenant’s email domain. 

Step 3: Import the Shifts Data to the Destination Tenant 

  • Open the Shifts app in Teams in the destination tenant. 
  • Go to the Schedule page. 
  • Select More options (three dots) and click on Import schedule
  • Choose Upload file, and select the Excel file for that specific team. 
  • Select Open to import the schedule into the new team. 

Note: You can import data for either past or future dates, ensuring that the correct shift information is in place.

Migrating Bookings

You will need to recreate the Bookings you have in the organisation environment in NHS.net.

The recreation of bookings should include the following:

  • Setting up Microsoft Bookings in NHS.net,
  • Recreating staff members, services, business information and working hours, and
  • Manually re-adding customer appointment
